- Hivance: Our WhatsApp-driven salon management and scheduling software (accessible via hivance.app and the web hub at hub.hivance.app).
- School ERP System: Our WhatsApp-driven parent-teacher messaging dashboard, automated notification portal, and related update scripts.
Printinfra Labs is operated by Shantanu Awate, an individual operating under the laws of India, with our registered office at 001, Sawmi Samarath Mandirajaval, Saraf Ali, Otur, Junnar, Pune - 412409, Maharashtra, India ("we", "us", or "our").
This policy is published in compliance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023 (DPDPA) of India.
1. Information We Collect
We collect information to provide, secure, and optimize our services. This includes information you provide directly, data collected automatically, and details received from third-party services.
1.1 Information Provided by You
- Account Registration Info: Name, phone number, email address, and business or institutional details (e.g., salon details for Hivance, print-shop name for PrintInfra, institution details for School ERP) when setting up an account.
- User-Generated Content: Customer profiles, service histories, booking details, staff schedules, and billing rates entered into the Hivance platform, and student rosters, parent contact databases, fee structures, and pocket money balances entered into the School ERP system.
- Operational Data: Configuration preferences, print queues, billing counts, and logs handled by the PrintInfra desktop agent.
- Files and Media: Document files (PDFs, images) transmitted by customers via WhatsApp to PrintInfra for automatic print job preparation.
- Communications: Message contents (such as fee reminders, balance receipts, updates), feedback, support queries, and emails sent to us.
1.2 Information Collected Automatically
- Device Metrics: Device type, OS version, browser type, IP address, screen resolution, and hardware properties.
- Application Log Data: Timestamped records of page views, button clicks, features utilized, transaction logs, and application crash details.
- Fraud Detection Metadata: Hardware fingerprints, browser configurations, and payment metrics collected securely by our third-party payment aggregators to safeguard transactions.
1.3 Information from Third Parties
- Payment Aggregators: Secure confirmations of payment success, payment method category (e.g., UPI, card, net banking), and billing references (we never store card credentials on our servers).
- Identity Providers: Verified mobile numbers and sessions managed through Firebase Authentication.
- Meta Platforms (WhatsApp): Delivery statuses, recipient phone numbers, and incoming message triggers processed through the WhatsApp Business API.
2. How We Use Your Information
We process personal and operational data based on legitimate business purposes, contract performance, and compliance requirements:
- Providing Services: Processing salon appointments on Hivance and auto-calculating document page lengths/costs on PrintInfra.
- WhatsApp Messaging Automation: Initiating transaction alerts, booking receipts, no-show reminders, and automated billing outputs directly to end customers.
- Core Desktop Sync: Synchronizing local print files securely with the PrintInfra desktop watcher agent.
- Security & Authentication: Verifying user access through mobile OTPs and maintaining application state.
- Payment Processing: Billing subscription packages, handling invoices, and calculating GST.
- AI Services: Processing anonymized operational data through Google AI utilities to yield business performance analytics.
- Compliance & Safety: Mitigating spam, resolving system abuse, and adhering to financial/tax audits.
3. Data Storage, Security, & Location
We take database security seriously and incorporate industry-standard protective measures:
- Server Location: Your primary business data is stored on cloud databases hosted by Supabase (secured on Amazon Web Services - AWS) in the Mumbai (ap-south-1) region, guaranteeing domestic data residency in India.
- Encryption Standards: Data is encrypted at rest using AES-256 protocols and in transit using TLS 1.3/HTTPS network wrappers.
- Data Isolation: We use Row Level Security (RLS) structures, preventing any potential unauthorized cross-organization database reads.
- Financial Info Security: Payment information is processed directly by PCI-DSS compliant payment gateways. Printinfra Labs does not record or host credit card numbers or banking passwords.
4. Data Sharing & Third-Party Processors
We do not lease or sell your data. We share necessary operational fragments only with verified partners who adhere to strictly regulated confidentiality standards:
- Database & Hosting: AWS Mumbai / Supabase.
- Authentication: Firebase (Google LLC).
- Messaging infrastructure: Meta Platforms, Inc. (via WhatsApp Business API).
- AI Analytics: Google AI (data is anonymized before processing).
- Payment Processing: RBI-authorized payment gateway aggregators.
- Legal Disclosures: Only when strictly ordered by court writs, judicial requests, or governmental authorities under Indian law.
4.1 Non-Sharing of WhatsApp Contact Phone Numbers
Notwithstanding any other provision in this Privacy Policy, phone numbers collected specifically for the purpose of WhatsApp messaging, customer scheduling, or transaction receipts will not be shared, rented, or sold to third parties, partners, or affiliates for their marketing or promotional purposes.
5. Your Rights under DPDPA 2023
In accordance with the Digital Personal Data Protection Act, 2023, you hold full authority over your personal information:
- Right to Access & Correction: Review a summary of your data or request changes to erroneous business data.
- Right to Erasure: Request permanent deletion of your data when the service subscription is discontinued (subject to mandatory financial record retentions).
- Right to Nominate: Delegate an authorized representative to access or request updates to your account in the event of incapacity.
- Consent Withdrawal: Cancel data processing permissions at any time (doing so will terminate functional access to the services).

6. Data Retention Policy
- Active Subscribers: Data is preserved during the tenure of active service registration.
- Post-Deactivation: Operational data is deleted from active production databases 30 days after subscription termination. Backups may retain encrypted fragments for up to 90 days.
- Statutory Retentions: Financial invoices and transaction ledgers are preserved for 8 years as required under the Income Tax Act, 1961 and GST rules.
7. Children's Privacy
Our business automation tools are intended for adult operators (18 years and above). We do not deliberately register or store details of individuals under 18 years of age. If we identify such details, they are promptly removed.
8. Changes to this Privacy Policy
We reserves the right to revise this Privacy Policy periodically. If revisions alter data collection processes significantly, we will notify you via registered email or active dashboard alert 15 days before changes take effect. Your continued platform use constitutes agreement to the updated policy.
